LOOKING FOR A FRONT DESK MANAGER (FEMALE CANDIDATE)

For an International Real Estate Brokerage Firm.

Responsibilities and Duties:

· Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.

· Using a multi-line telephone, answers, and appropriately routes all incoming calls for various business units with courtesy, speed, and accuracy. Presents a professional, courteous demeanor when using the Company intercom system. Demonstrate friendliness and proper phone etiquette with every customer.

· Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

· Provide prompt and courteous service: both via phone/email and in person.

· Receive, sort and distribute daily mail/deliveries.

· Perform other office related duties such as filing, photocopying, transcribing and faxing.

· Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).

· Using computers to generate reports, letter & email correspondence, create presentations, and conduct research. Handle procurement & Inventory in a timely manner.

· Maintain a professional appearance and work area.

· Be familiar with procedures for handling all aspects of customer complaints or disputes.

· Ensure completion of paperwork, sign-in and visitors log.

· You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations.

· Multitasking and Stress Management Skills are essential for this position.

· Performing ad-hoc administration duties.

· Maintaining office services as required (such as cleaners and maintenance companies).

· Arrange travel and accommodations, and prepare vouchers.

Requirements:

-Minimum two years experience to 3 Years in administrative support position, within an office environment.
-Must be able to read, write, speak, and understand the English language.
-Proven work experience as a Receptionist, Front Office Representative or similar role.
-Professional attitude and appearance
-Must possess patience, a cheerful disposition, enthusiasm and the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public.
- Must possess leadership ability and willingness to work harmoniously with other personnel.
-Proficiency with Microsoft Office applications.
-Hands-on experience with office equipment (e.g. fax machines and printers)
-Ability to be resourceful and proactive when issues arise
-Exceptional telephone etiquette
-A self-starter capable of multi-tasking and prioritizing
-Ability to take initiative in completing assigned work and projects

- Graduate (minimum)

- MS office suite proficiency

- Analytical skills

- Communication skills

-Presentable
